Privacy policy

Thoughtwave Software & Solutions ("we") provides TWSS AI Pulse (the "Service") via https://aipulse.swarmhr.com. This policy describes what data we collect, how we use it, and how you can exercise your rights. Plain English; the legal-formal version is available on request.

What we collect

  • Account data: name, work email, company, and the responses you give in the demo-request form.
  • Usage data: pages you visit on aipulse.swarmhr.com, fingerprinted via SHA-256 of (user-agent + screen size + timezone + language). No cookies, no PII.
  • If you become a customer: the data you load into AI Pulse (sites, keywords, reviews, generated content). This is your data; you control it; we process it on your behalf.

How we use it

  • To schedule the demo and respond to your request.
  • To improve the Service — aggregate analytics on which marketing pages convert; per-feature usage telemetry on the platform itself (opt-out via a single setting).
  • To send transactional emails directly tied to your account (run summaries, alerts, billing). We do NOT add you to a marketing list without explicit opt-in.

Who we share it with

  • Our LLM providers (OpenAI, Anthropic) only when you trigger an LLM call and only the prompt/completion for that call. You can opt out of cloud LLMs entirely by configuring local Ollama.
  • Our hosting providers (Supabase, Vercel where applicable) as data processors under their published DPAs.
  • Government entities only when legally compelled (subpoena, court order). We will notify you unless prohibited.
  • Never sold. Never traded for marketing purposes.

Your rights

  • Right to access — download a full export of your data at any time from /admin/site-config.
  • Right to rectification — edit anything in /admin directly, or email hello@thoughtwavesoft.com.
  • Right to erasure — request deletion via hello@thoughtwavesoft.com; we comply within 30 days.
  • Right to portability — the export bundle is JSON + Postgres dump, importable into a self-hosted AI Pulse with one command.
  • If you're in the EU, UK, California, or any other jurisdiction with similar protections, those rights apply equally.

Retention

  • Demo-request data: kept until you ask us to delete it, or 24 months from last contact, whichever is sooner.
  • Customer data: kept for the duration of your subscription plus 30 days for backup retention. After that it is purged from production and 60 days later from backups.
